Events Coordinator

HUB Cycling is seeking an Events Coordinator to coordinate volunteers and events throughout Metro Vancouver. This position provides an exciting opportunity to develop event planning and volunteer coordination experience.

Position details:

HUB Cycling hosts several events across Metro Vancouver to get more people cycling more often. HUB Cycling’s events celebrate cycling for transportation in fun and unique ways with the primary goal of encouraging people to make the switch to cycling for transportation. 

The Event Coordinator will assist with the planning and logistics for HUB Cycling’s events throughout the busy summer season, which includes Bike to Shop, Bike the Night, and preparations for Go by Bike Week Fall. 

Primary Responsibilities:
  • Recruit, train, and coordinate volunteers for the Bike the Night event
  • Submit and manage event permit applications 
  • Solicit in-kind food, drink, mechanics, and prizes for the events
  • Manage supplies, including promotional items and rental equipment for event activations 
  • Ensure on-site event activators and volunteers have all their necessary supplies and documents for the duration of their events
  • Work at in-person events to engage with members of the public and raise awareness of cycling as a viable mode of transportation
  • Help develop marketing and promotions plans, including content for online calendar listings, social media and poster distribution 
  • Assist with other event-related tasks as needed
  • Maintain detailed records of event participation rates and other statistics and assist with compiling stats for reporting
Desired Qualifications:
  • Volunteer coordination experience (through work or volunteer positions)
  • Previous event coordination/management experience is an asset
  • Excellent written, interpersonal and verbal communication skills 
  • Ability to build and maintain strong relationships with partners, volunteers and staff
  • Committed to the principles of diversity, equity and inclusion
  • Exceptional time management and organizational skills, ability to manage multiple priorities 
  • Competency with computer software including Google Suite and CRM software
  • Eligible to drive a Modo (2 years of driving experience in BC)
Terms of Employment:

This is a full-time summer position (averaging 30 hours/week) starting June 24th until September 17th at $25.68/hour subject to Canada Summer Jobs requirements. 

To be eligible, you must:

  • be between 15 and 30 years of age at the start of the employment;
  • be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment and,
  • have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

The successful candidate must be willing and able to work evenings and weekends leading up to the events. Some of the specific weekend dates include: 

  • Sat, June 1 
  • Sat, June 8
  • Sun, July 7
  • Sun, Aug 11
  • Sun Aug 18 or 25
  • Sat, Sept 14 

All staff are expected to work remotely part time. The successful candidate will need access to their own cell phone and a reliable home internet connection. Office space is available for up to three days a week at 312 Main Street, Vancouver. Staff must be reasonably available for in-person meetings and events in Metro Vancouver.
